In short: Maintena reaches out at the moments that matter, a report before you renew, a welcome, downtime and recovery notices, and more, all in one calm voice. You stay in control with a preference centre and one-click unsubscribe, and you will never get duplicate or noisy emails.
What it is
Maintena keeps an eye on your WordPress site around the clock. When something is worth knowing, we send you a clear, on-brand email. Nothing more.
Every email you receive falls into one of two groups:
- Account and safety emails. Things you would expect and rely on: a welcome when you join, a receipt after a payment, a heads-up if your site goes down, and replies to your support requests. These always send, so you never miss something important.
- Relationship emails. Warmer, occasional notes: a report before your renewal, a "here is where your site did well" highlight, and a yearly thank-you. These are valuable, but entirely optional. You can turn any of them off at any time.
The guiding rule behind all of it is simple: never fabricate, never spam, never repeat. If there is nothing genuine to say, we do not send.

A gentle heads-up before you renew
A few days before your renewal, you get a link straight to your latest report, with no login required. It is a secure, private link, so you can see exactly how your site is doing before any charge. A day or two later, a short "performance highlights" note points out concrete wins, sessions, conversions, top pages, drawn from your live site intelligence.
These highlights are always truthful. If a month was quiet or the data was thin, the email says so plainly and reassures you that your site is safe and intact. We never invent numbers to look impressive.
Downtime you can trust
If your site goes down, we do not fire off an alarm at the first hiccup. We wait until the outage is genuinely sustained, around 10 minutes, before emailing you. That way a momentary blip never turns into a false alarm. When your site comes back, you get a recovery notice, but only if we actually told you it was down in the first place. No duplicates, ever
Behind the scenes, every email is checked so the same message is never sent twice. If our system runs a scheduled check more than once, or a payment notification is retried, you still only ever get one email. Your inbox stays clean.
Billing emails, where enabled
When billing is switched on in your environment, a successful payment sends you a friendly receipt, and a failed payment sends a calm "please update your card" reminder so a lapsed card never quietly interrupts your service. These billing emails only send once billing is active, so you will not see them before then. For plans and pricing, see Billing and subscriptions.
The control you have
You are always in charge of the relationship emails. Two simple controls make that easy:
- A preference centre. Every relationship email carries a link to a private preferences page. Open it, no login needed, and switch individual email types on or off. Your choice takes effect immediately.
- One-click unsubscribe. Prefer to use your email app's built-in unsubscribe button? That works too, and we honour it the moment you click.
A few things worth knowing:
- Account and safety emails, like receipts, downtime alerts, and support replies, are not opt-out. They are the emails you count on, so they always arrive.
- If an email ever bounces or is marked as spam, we stop sending to that address automatically to protect your inbox and our reputation.
- Every email comes from one consistent, on-brand sender, so you always know it is really us.
What you need to do
For most customers, the answer is nothing. The report links and preference pages arrive in your emails as secure links, and unsubscribing is a single click that we honour right away.
If you manage your own Maintena environment, a few one-time steps switch the emails on:
- Add your email delivery credentials so Maintena can send mail.
- Connect the delivery webhook so we can track bounces and complaints and keep your sending healthy.
- If you use billing, enable the payment events so receipts and reminders can send.
- Make sure the scheduled tasks are running, so the timed emails go out on their cadence.
Once those are in place, the emails begin flowing automatically at the right moments.
On the roadmap
A few things are intentionally not built yet:
- Auto-login links from emails. For now, deep links take you to a standard sign-in and then straight to the exact page you were headed for. A one-click auto-login from the email itself is a possible future addition.
- A post-resolution satisfaction email after a support ticket closes. Not sent today; support email stays reactive to your requests.
- Sending to multiple recipients or CC. Each email currently goes to a single best contact address for your account.
